The Administrative Support Coordinator is responsible for supporting the organization's various operational and logistical functions. This full-time role ensures smooth coverage, handles attendance logging, and coordinates events, among other duties. Flexibility and the ability to handle multiple tasks are essential for this position. This position maintains a caseload of families as the primary contact, point, and outreach for Chai Lifeline services and contact.
RESPONSIBILITIES INCLUDE:
- Care Coordination and Navigation (20%)
- Communicate with families to understand their specific needs and preferences
- Follow up with families to ensure the services meet their expectations
- Direct contact with 15 clients weekly (60 monthly), including those who have and have not received or used services offered, and to develop a new service plan
- Build trusting relationships with families to better understand and address their concerns
- Attendance Logging (15%)
- Record and manage i-Shine attendance logs
- Ensure accurate and timely logging of attendance for all related activities
- Hair Donations (10%)
- Coordinate and manage the process of hair donations
- Maintain records of donations and ensure donors receive appropriate recognition
- Event Logistics (15%)
- Handle logistics for events, including flyer creation, registration, bussing, and overall coordination
- Ensure all aspects of events run smoothly and efficiently
- Special Events and Drives (15%)
- Assist in organizing and executing holiday season events, drives, and special activities
- Coordinate efforts with the Hospital Case Manager, Columbia, and the MSKCC community manager to make special events happen – document the specific event that you are supporting
- General Administrative Support (25%)
- Provide general administrative support to ensure the smooth operation of office functions
- Cover for staff during holidays and other absences, ensuring continuous support and coverage
- Cover specials for families as needed (shopping for clients, finding cleaning help, etc.)
- Accurately enter all data and update all activities in Salesforce, ensuring information is current, comprehensive, and timely
- Maintain the integrity of our Salesforce database by regularly updating client interactions, service activities, and other relevant information
- Utilize Salesforce to generate and analyze reports, providing insights and recommendations to improve service processes
- Stay up to date with Salesforce best practices and company protocols, participating in training as required
Education:
- High School Diploma or equivalent
Professional Skills:
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Salesforce and other relevant software.
- Experience in event planning and logistics coordination.
- Ability to handle sensitive information with confidentiality.
- Flexible and proactive approach to work.
SCHEDULE:
- 9 am – 4 pm Mon-Thurs and Friday 9 am – 1 pm; on-call evening hours as needed
