The Event & Program Coordinator plays a key role in supporting the regional office’s programs, events, and day-to-day operations. This position provides administrative support, coordinates projects, tracks communications, and assists with case management check-ins. The Coordinator is also responsible for planning and implementing i-Shine and other community programs, ensuring smooth execution and meaningful engagement across events.
RESPONSIBILITIES INCLUDE:
- Plan, coordinate, and execute all regional events and activities.
- Manage event logistics, including:
- Ordering swag, food, and entertainment
- Coordinating venue setup, décor, and seating arrangements
- Managing event registration, attendance tracking, and guest communications
- Overseeing setup, on-site operations, and cleanup
- Liaising with vendors and service providers to ensure timely delivery and quality
- Managing event budgets, payments, and post-event expense tracking
- Preparing event materials, signage, and supplies
- Recruit, organize, and oversee volunteers to support events and programs.
- Develop and maintain the annual calendar of regional events and programs.
- Identify opportunities to create new, engaging events for families, donors, and community members.
- Enter and update all program and client activity data in Salesforce, ensuring accuracy and timeliness.
- Maintain database integrity by regularly updating client interactions and service activity records.
- Generate Salesforce reports and provide insights to improve program operations.
- Enter invoices and expenses into the expense management system.
- Coordinate major regional events such as Chanukah Angels, Chanukah and Purim parties, Great America trips, MW Region CSWOB, Mom’s events, Shabbatons, and Family events.
- Assist in the planning and execution of fundraising events.
- Provide limited support for client check-ins under case management.
- Oversee i-Shine volunteer coordinators and ensure consistent program coverage.
- Collaborate with local restaurants and vendors to arrange food for i-Shine and other events.
- Work closely with the Director of Volunteer Services to ensure programs run smoothly.
- Perform other administrative and ad hoc duties as assigned.

Education:
- High School Diploma or equivalent
Expericence:
Professional Skills:
- Outstanding communication skills, both verbal and written
- Excellent organizational skills
- Excellent time management skills and the ability to multitask
- Proficient computer skills (word, outlook, and Excel)
- Ability/ experience working with sensitive information
- Nonprofit experience is a plus

- Part-Time (4 hours a day – Monday-Friday)
